Your Personal Data

We (Chris Mortimer) take your privacy seriously and will only use your personal information to respond to any questions you may have and to provide oil suppliers with your name, your address and contact phone number(s) when you request an oil delivery.  Your email address is not passed to anyone else. Your personal information will never be shared with third parties for marketing purposes and will not be used by us for marketing purposes without your explicit consent.

 

What we collect and how we receive your information

When you fill out either the 'Join the group' online form or the 'Place an order' online form you will be voluntarily providing us with your personal information.  The information you enter in the forms is encrypted, as you can see from the padlock icon in the address bar of your browser, and is sent to us by email.

While we have implemented encryption to ensure secure transmission of your personal information, Internet-based data transmissions may in principle have security gaps, so absolute protection may not be guaranteed. For this reason, you are always welcome to contact us via alternative means, such as by telephone.

We will never ask you to provide any ‘Special Categories of Personal Data’ when using the Higham Oil Group Website. This means information about your racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data, and data concerning your health. We do not consider any of this information relevant to what we do via the Higham Oil Group Website

Web server logs and security
When you visit this website, information about your device, operating system and browser, and your IP address are automatically saved in log files. This serves a number of purposes, including helping to keep the website secure and helping to diagnose any problems that might arise.

Why we need your information and how we use it

The email addresses for all members is used to send out group related emails, notice of the next order, prices obtained and who will supply the oil delivery.  Email addresses are BCC'd to protect members details.  For one-to-one emails between the data controller and a member email address will be in the To or CC field.

Once an online form has been filled in and submitted the data is sent to a Google sheet that is linked to the form.  Google have their own privacy policy and can be found by following this link https://policies.google.com/privacy?gl=US&hl=en.  The contents of the forms are also emailed to the data controller.  In the case of the 'Join the group' the emailed data is inserted into a database that contains all members details.  The database was created and maintained by the data controller.  The data controller is the only person with access to the database.  The database is located within the UK and backed up onto UK hosted servers.  Data from the 'Place an order' Google sheet is downloaded and imported into the same database.  When an order is placed with an oil supplier, the name, address, telephone number(s) and notes are exported from the database along with the number of litres each person requested.  No other data is sent to the supplier.

How long we keep your data

Higham Oil Group will only retain your Personal Data for as long as necessary to fulfil the purposes for which it was initially gathered, and in line with any further choices you have indicated about how we should handle your Personal Data.  Members who wish to not receive emails from the Higham Oil Group are moved to another part (a table) in the database exclusively for 'deleted' members.  This retention is in case of queries – for example, where you contact us to receive further information about the way we handle your data.  Should you wish to be removed from this table please get in touch using details at the bottom of this webpage.
